CHATS/ΚΟΥΒΕΝΤΕΣ GREEK CLUB – TERMS & CONDITIONS
***Please read carefully***
1) THE CLUB
What it is:
Chats/Κουβέντες Greek Club is a drop-in conversation program for A2 (upper beginner) through C2 (advanced) learners. It is designed purely for speaking practice and is not a course, exam-preparation program, or level-completion course. Each Chat is a short, focused conversation group (approximately 30 minutes) based on the week's speaking prompt.
What's included:
Your one-time annual fee gives you access to:
- Weekly drop-in conversation groups, matched to your level and time zone (typically 1 up to 3 groups per level per week);
- The weekly speaking prompt by email;
- The Chats Library: 150+ video lessons, audio, notes, quizzes and flashcards, available September to August;
- On-the-spot group feedback at the end of each Chat (vocabulary, grammar points, new expressions);
- The private Facebook group for questions and support.
Schedule and breaks:
Live groups run from September 15 to June 15. There are breaks at Christmas (2 weeks), Orthodox Easter (2 weeks), one week in March, and May 1st. The Library remains accessible from September to August. The Zoom link stays open during breaks, and members are welcome to use it to chat with fellow students.
Format:
Most groups have 3–4 students, occasionally 6–7 for popular levels, and rarely 1–2. A typical Chat runs 30–35 minutes. If only one student joins, the session is a shorter, more personal 15-minute session. There is no obligation to attend every week, and each week's prompt stands on its own.
2) MEMBERSHIP, FEES & ACCESS
Fee and term:
The Club fee is a one-time annual fee of $225 for the whole learning year (September to August). This is not a recurring membership and you will not be charged again automatically. Registration opens once a year, September 1–15. If you wish to continue, you rejoin the following September.
Free access for enrolled class students:
Students enrolled in at least one full term of online Greek classes receive free access to the Chats Library and conversation groups for the learning year, from September 15 to June 15, in accordance with the online class Terms & Conditions. Free access requires continued enrollment in at least one full term during the learning year and ends if enrollment ends. Free access is also conditional on respecting the member responsibilities set out in these Terms (including the conduct expectations in Section 4). If a class student does not respect these responsibilities, their free access to the Club may be suspended or removed, in line with Section 4.
Finality of payments:
All payments are final. Because you receive immediate access to the full Library and all groups, no refunds are issued once registration is complete, nor for missed Chats or unused Library access.
Non-attendance:
If you do not attend a Chat, you are not entitled to a refund, credit, or transfer of hours. Drop-in attendance is flexible by design; missing a week does not extend your access.
Access and login details:
After registering, you will receive a welcome email with your Zoom link, Library login, and full schedule. You are responsible for keeping these details safe and for checking your email for the weekly prompt.
3) GROUP PLACEMENT & LEVEL CHANGES
Initial placement:
We make every effort to place you in the group that best matches your speaking level and schedule. Your level is based on your existing foundation in Greek, and you are welcome to try more than one level if you are unsure.
Changes at the teacher's discretion:
Group dynamics vary, and a group that suits one learner may not suit another. The teacher may, at their discretion, recommend or move a student up or down a level if a group is not working for them — for example, if the level is not a good fit, if the group's pace or dynamic is not helping the student, or if the student's needs would be better served elsewhere. Such changes will be communicated to the student and made in the interest of the most effective speaking practice. Where possible, we will discuss the change with you first.
Placement is not permanent:
Because the Club is drop-in, you may attend a different group at your level when your schedule requires it, subject to availability. You may only attend groups appropriate to your level.
4) MEMBER CONDUCT & COMMUNITY EXPECTATIONS
Respectful participation:
Our Chats are inclusive spaces where every member deserves to feel safe, respected, and valued. Members are expected to be courteous and polite at all times, to listen attentively, and not to interrupt others. Speaking practice requires turn-taking: please give others space to speak, keep contributions reasonably brief, and avoid dominating the conversation.
Respect for all members:
All members and teachers must be treated with courtesy and respect, regardless of language, nationality, ethnic or cultural origin, religion or beliefs, gender, sexual orientation, disability, socioeconomic background, or any other characteristic. Discrimination, harassment, or exclusionary behavior of any kind — whether verbal, written, or physical — is strictly not tolerated. Negative comments, stereotypes, or mockery directed at any group are equally unacceptable, regardless of who is in the room, and will be treated with the same seriousness as any other form of discrimination.
Loss of access:
Members who repeatedly interrupt others, dominate the group, are disruptive, or behave disrespectfully may have their access to the Club suspended or withdrawn. Where appropriate, we will raise the issue with the member first; however, serious breaches (including harassment or discrimination) may result in immediate removal from the program. No refund will be issued in the case of suspended or withdrawn access. The teacher's decision on such matters is final.
Learning environment:
Chats are for speaking practice, not for correcting, interrupting or critiquing other members. Feedback is given by the teachers. Please help keep the space encouraging and low-pressure for everyone.
5) TECHNOLOGY & CONFIDENTIALITY
Platforms:
Chats are held via Zoom. The Library, quizzes, and materials are accessed online. Email and the private Facebook group may be used for communication and support.
Technical requirements:
You are responsible for having a working device, a stable internet connection, and a working camera and microphone, and for being comfortable using Zoom, email, and links. Teachers are not responsible for technical problems on the member's side. Because these are group sessions, Chats start and end on schedule and will not be paused, slowed down, repeated, or rescheduled for individual members. If a member is disconnected or cannot be heard or seen clearly, the session will continue as planned. Members with an unstable connection may be asked to turn off their camera to protect session quality for the group.
Courtesy help:
Teachers are happy to help with minor platform issues (such as how to join a Zoom session or where to find materials) as a courtesy, at the teacher's discretion.
Confidentiality:
Teachers commit to keeping all member information strictly confidential. Members are likewise asked to respect the privacy of others: please do not record sessions, and do not share other members' contributions, personal details, or materials outside the Club without consent.
6) CHANGES, AGREEMENT & DISPUTES
Changes to the program:
Group times, teachers, and schedules may occasionally change. We will give reasonable notice of any changes. The teacher reserves the right to update or modify these Terms & Conditions at any time; continued participation after changes constitutes acceptance of the revised terms.
Entire agreement:
This document constitutes the entire agreement between member and teacher regarding the Chats/Κουβέντες Greek Club and supersedes all prior oral or written representations. It is separate from, and does not replace, the Terms & Conditions for online Greek classes.
Disputes:
If a dispute arises that cannot be resolved by mutual consent, both parties agree to attempt good-faith mediation for up to 30 days after notice is given.
Acceptance:
Registration in the Club indicates the member's acceptance of and compliance with these Terms and Conditions, as well as understanding of the services provided.
A copy of these Terms and Conditions is available to members upon request.
